  • Supervised laboratory or software activities.

  • Assignments and project work.

  • Assessment and presentation activities.

5. Attendance and Participation

  • Participants are expected to attend the scheduled sessions and participate in the activities prescribed for their programme.

  • Where attendance is a completion requirement, the programme announcement will specify the applicable minimum attendance threshold.

  • For programmes that include practical work, participants may also be required to complete exercises, assignments, demonstrations, or project activities.

  • Attendance alone does not necessarily establish successful completion of a programme where assessment is required.

6. Assessment

VIIM may use one or more of the following assessment methods, depending on the programme:

  • Written or online tests.

  • Problem-solving exercises.

  • Practical demonstrations.

  • Software-based tasks.

  • Assignments or case studies.

  • Individual or group projects.

  • Reports, presentations, or viva voce assessments.

  • Evaluation of a completed learning outcome or practical artefact.

7. Completion Requirements

To qualify for a certificate of successful completion, a participant must satisfy the requirements announced for the relevant programme.

These may include:

  • Meeting the prescribed attendance requirement.

  • Completing compulsory practical activities or assignments.

  • Obtaining the required assessment result.

  • VIIM will maintain appropriate records of certificates issued, including the certificate number, participant details, programme information, issue date, and status.

  • These records may be used for administrative purposes, responding to enquiries, verifying certificates, correcting errors, and addressing cases of suspected misuse.

10. Academic Recognition and Credit

  • A VIIM training certificate documents the participation, completion, or assessed learning specified on the certificate.

  • A VIIM certificate does not, by itself, guarantee academic credit, semester credit, exemption from a university paper, admission, employment, professional recognition, or equivalence to a formal qualification.

  • Any recognition of a VIIM programme for academic credit, including credit under a Recognition of Prior Learning (RPL) framework, is subject to the applicable rules and the independent decision of the university or other competent institution.

  • Where a programme has been formally adopted or approved for credit by an educational institution, the relevant approval and credit conditions should be stated accurately.

11. Participant Responsibilities

Participants are expected to:

  • Provide accurate registration information.

  • Complete required activities honestly.

  • Follow the instructions and assessment rules for the programme.

  • Submit their own work, except where collaborative work is expressly permitted.

  • Avoid plagiarism, impersonation, fabrication of results, or other forms of academic misconduct.

  • Use certificates only for legitimate purposes.

VIIM may withhold or cancel a certificate where there is sufficient evidence that it was obtained through misrepresentation, impersonation, or serious assessment misconduct, subject to appropriate review.

12. Corrections and Complaints

  • Participants may contact VIIM regarding errors in attendance records, assessment results, completion status, or certificates.

  • VIIM will review such requests against available records and the applicable programme requirements.

  • Where an error is confirmed, VIIM may correct the record, issue a corrected certificate, or provide appropriate clarification.

13. Changes to This Policy

  • VIIM may update this policy to reflect changes in its operations, technology or applicable law.

  • The latest version will be published on the VIIM website with an updated date.

Certificate Verification Policy

CERTIFICATE VERIFICATION POLICY

Effective Date: 27th  August 2025
Last Updated: 11th October 2026

1. Purpose

  • This policy establishes the procedures and principles governing the numbering, verification, correction, and revocation of certificates issued by Venugopal Institute of Independent Mathematics (VIIM).

  • The objective is to enable participants, educational institutions, employers, and other authorised parties to verify the authenticity and current status of VIIM certificates.

2. Scope

  • This policy applies to certificates issued by VIIM for its training programmes, workshops, internships, skill-development courses, and other eligible learning activities.

  • The verification process is intended to establish whether a certificate corresponds to a record maintained by VIIM and whether that record indicates that the certificate is currently valid.

3. Certificate Numbering

  • Each certificate issued under a system of unique identification will be assigned a certificate number.

  • The certificate number should be unique within the relevant VIIM certificate register and should be recorded alongside the participant's name, programme title, duration, issue date, and certificate status.

  • A certificate number serves as a reference for verification. The number alone does not establish authenticity unless it corresponds to an official VIIM record.

  • VIIM will take reasonable steps to prevent duplicate numbering and maintain the integrity of its certificate register.

4. QR-Code Verification

  • VIIM may print a QR code on its certificates to provide convenient access to the online certificate-verification facility.

  • The QR code may direct the user to:

    • The VIIM certificate-verification page; or

    • A verification page associated with the relevant certificate.

  • The verification page may request or display the certificate number and other limited information necessary to check the record.

  • A successful verification should be based on the certificate register maintained by VIIM, not merely on the presence of a QR code, logo, signature image, or certificate number.

Scanning a QR code is a means of accessing the verification service; it is not, by itself, proof that the certificate is genuine.

Users should ensure that the verification page belongs to VIIM and should not rely solely on a screenshot or a printed copy of an online verification result.

5. Verification Results

  • Depending on the information available in the certificate register, the verification facility may return one of the following results.

    • Valid: A matching certificate record has been found, and the certificate is recorded as valid.

    • Revoked: A matching record exists, but VIIM has withdrawn the certificate's validity following an authorised review.

    • Not Found: No matching certificate record could be located using the information submitted.

    • Unable to Verify: The verification service is temporarily unavailable or cannot complete the check.

  • A Not Found result does not, by itself, establish fraud. The certificate number may have been entered incorrectly, the record may require manual review, or the certificate may predate the current electronic register.

  • Where a certificate cannot be verified online, the holder or the requesting institution may contact VIIM for further examination.

6. Manual Verification

  • A participant, educational institution, employer, or other interested party may request manual verification by contacting VIIM.

  • The request should provide sufficient information to identify the certificate, preferably the certificate number and programme title.

  • VIIM may request additional information or documentary evidence where necessary to distinguish a genuine certificate from an inaccurate, altered, or unauthorised copy.

  • Any confirmation provided will be based on the official records available to VIIM.

7. Correction of Certificate Details

  • A certificate holder may request correction of an error in the participant's name, programme title, duration, date, or other recorded information.

  • The request should be submitted to VIIM with the certificate number and relevant supporting evidence.

  • VIIM will review the request against its registration, attendance, assessment, and certificate records, as applicable.

  • Where an error is confirmed, VIIM may:

    • Correct the underlying record.

    • Issue a corrected certificate.

    • Update the online verification record.

    • Mark the earlier certificate as superseded or no longer current, where appropriate.

  • Corrections should preserve an appropriate record of the change to maintain the integrity of the certificate register.

  • A correction request does not automatically establish that the original record is incorrect. VIIM may seek additional evidence before making changes.

8. Revocation of Certificates

  • VIIM may revoke a certificate where there are reasonable grounds to conclude that it was:

    • Issued in error.

    • Obtained through impersonation or material misrepresentation.

    • Based on falsified attendance, assessment results, or completion records.

    • Issued using forged, altered, or unauthorised documentation.

    • Obtained through serious misconduct that materially affected eligibility for the certificate.

  • Revocation should be based on an appropriate review of the available evidence by an authorised representative of VIIM.

  • Where practicable, the certificate holder should be informed of the concern and given a reasonable opportunity to respond before a final revocation decision is made.

  • VIIM may take immediate protective action where necessary to prevent ongoing misuse, subject to subsequent review.

9. Effect of Revocation

  • When a certificate is revoked, VIIM may:

    • Update its internal certificate register.

    • Change the online verification status to Revoked.

    • Notify the certificate holder of the decision.

    • Issue a corrected record or replacement certificate where the original issue was an administrative error.

    • Notify a relevant institution or organisation where disclosure is lawful and appropriately justified.

  • A revoked certificate should not be represented as currently valid.

  • The revocation of a certificate does not automatically determine the status of any separate academic, employment, or other decision made by a third party on the basis of that certificate.

10. Certificate Register and Record Integrity

  • VIIM will maintain a certificate register to support verification and record management.

  • The register may include:

    • Certificate number.

    • Participant name.

    • Programme or course title.

    • Training duration.

    • Issue date.

    • Completion or assessment status, where applicable.

    • Current certificate status.

    • Relevant correction or revocation history.

  • Access to the complete register should be restricted to authorised persons.

  • The public verification facility should display only information reasonably necessary to establish certificate authenticity and status.

11. Limitations of Verification

  • Verification confirms the status of a certificate in VIIM's records. It does not independently establish that the programme is accredited by a statutory or regulatory authority, that the certificate carries university credit, or that the holder has a qualification beyond what the certificate expressly states.

  • VIIM certificates document the learning, participation, or assessment specified in the relevant certificate. Academic credit, equivalence, or formal recognition remains subject to the decision of the competent educational institution or authority.

  • VIIM will endeavour to maintain accurate verification records but cannot guarantee uninterrupted availability of an online verification service.

12. Misuse and Fraudulent Certificates

  • Any suspected forgery, alteration, unauthorised issue, or misuse of a VIIM certificate may be reported to the Institute.

  • VIIM may examine the available evidence, correct its records, update verification status, and take other appropriate action in accordance with applicable requirements.

  • The use of VIIM's name, logo, certificate number, or QR code on an unauthorised document does not make that document genuine.

13. Changes to This Policy

  • VIIM may update this policy to reflect changes in its operations, technology or applicable law.

  • The latest version will be published on the VIIM website with an updated date.

Last Updated: 11th October 2026

This policy applies to workshop registrations, online training sessions, webinars and other paid educational services offered by the Venugopal Institute of Independent Mathematics (VIIM).

1. Before Registering

  • Participants should review the programme description, schedule, duration, eligibility conditions and fees before making payment.

  • By completing registration, participants acknowledge that they have reviewed the relevant programme information and this policy.

2. Cancellation by a Participant

The following is the refund schedule for standard VIIM workshops.

Receipt of Cancellation request and the Proposed refund

  • At least 7 calendar days before the programme begins (100% of the programme fee)

  • 3–6 calendar days before the programme begins (50% of the programme fee)

  • Less than 72 hours before the programme begins (No refund)

  • After the programme has begun (No refund for the completed or partially attended programme)

3. How to Request a Cancellation

Participants should email: viim.drmathtvg@gmail.com

Use the subject line: Workshop Cancellation and Refund Request

Include:

  • Participant's full name

  • Registered email address

  • Programme name

  • Programme date

  • Payment reference or transaction ID

  • Reason for cancellation, if the participant wishes to provide one

VIIM may request additional information reasonably necessary to identify the transaction.

The date and time at which VIIM receives the request will be used to determine the applicable cancellation period.

4. Cancellation or Rescheduling by VIIM

  • If VIIM cancels a programme and does not offer a suitable alternative accepted by the participant, the participant will be eligible for a full refund of the programme fee paid.

  • If a programme is rescheduled, registered participants will be informed of the revised arrangements.

  • Where a participant cannot attend the revised date, VIIM will offer a refund or another appropriate resolution according to the circumstances and applicable law.

5. Technical Difficulties

  • Participants are responsible for having suitable internet access, compatible devices and the necessary software.

  • If a participant experiences an individual connectivity or device problem, a refund will not automatically be available.

  • However, if a technical problem attributable to VIIM prevents the programme from being delivered substantially as advertised, VIIM will consider a reasonable remedy, which may include an alternative session, access to a recording where available, a credit or a refund.

6. Duplicate or Incorrect Payments

  • If a participant makes a duplicate payment for the same registration, VIIM will verify the transactions and refund the confirmed duplicate amount.

  • If an incorrect amount has been charged due to a verified transaction error, VIIM will investigate and provide an appropriate correction or refund.

7. Refund Processing

  • Once a refund is approved, VIIM will initiate the refund through the original payment method or the applicable payment provider's refund process.

  • VIIM's target is to initiate approved refunds within 7 business days.

  • After initiation, the time taken for the amount to appear in the participant's account depends on the payment provider, card network and issuing bank.

  • International transactions may require additional processing time.

  • VIIM will provide available refund or transaction references upon request.

8. Non-Refundable Items

  • Where a programme includes separately identified non-refundable services or charges, these will be clearly disclosed before payment and applied only where legally permissible.

  • Nothing in this policy excludes any refund or remedy required under applicable law.

9. Changes to This Policy

  • VIIM may update this policy to reflect changes in its operations, technology or applicable law.

  • The latest version will be published on the VIIM website with an updated date.
